The Role
The Administrative Assistant – Buying Team plays an integral role in contributing to the overall success of both
the buying and warehouse receiving operations. The Administrative Assistant aiding the Buying Team will be
responsible for product related data entry at the highest level of accuracy and attention to detail, buying team
scheduling and meeting coordination, guest service coordination for high level meetings, vendor communication,
documentation, and oversee quality of all inbound products. Your supporting role in the Buying Team will make us
wonder what we ever did before you joined our team!
Responsibilities
- Assist the Receiving Team in review and examination of product samples and inventory for quality and fit
- Reconciliation of Purchase Orders and Invoices
- Communicating purchase order changes to all involved parties and any required follow up
- Liaise with vendors to resolve order/product issues
- Provide receiving sheets and supporting documentation for Receiving Team
- Vendor follow up relating to shipment confirmation, scheduled delivery and shipment inconsistencies
- Inputting Purchase Orders into our proprietary inventory and order management software
- Update project management software for product and receiving scheduler
- Life cycle management of samples, including intake, cataloging and end of life samples
- Sample Room management and organization for seasonal lines and vendor meetings
- Management of Buying Team schedules
- Coordinate Vendor and Third party meetings with refreshments, meal planning, with an eye to hospitality and make our visitors feel welcomed at Silver Icing =)
- Maintains and provides sales metrics to the buyers to consider future buying commitments and trends
- Maintain departmental reports and records with attention to detail and highest level of accuracy
- Generate reports and provide analytics
- Active in our social media community providing answering product related questions
- Liaise with Marketing, Graphics, Customer Experience and Warehouse teams to facilitate successful launches and support
- Experience with garment design and development, including pattern making and work with domestic and offshore factories, considered beneficial
- Experience with women’s and children’s fashion, an asset
Qualifications
- 2+ years related working experience in a similar role
- Post-secondary education in fashion preferred but not required
- A self-starter, strong ability to take initiative
- Strong organizational skills with the ability to multitask and work under deadline
- Strong analytical and problem-solving skills
- Knowledge and experience with online, retail, merchandising or product development processes
- Excellent written and verbal communication skills
- Proficient in Microsoft Suite, particularly in Excel, Asana and ability to learn new software systems
